The death of the one-size-fits-all residential lease

Bulky, one-size-fits-all residential lease agreements fuel disputes - not because the law is unclear, but because the contracts are. To address this, rental property management platform Reos has partnered with SBL Incorporated, a law firm specialising in property law, to launch LeaseConsole: an attorney-backed platform that replaces generic lease templates with precise, plain-language agreements tailored to each tenancy.
"The magic of LeaseConsole is in the combination of legal expertise and workflow automation," says Craig Buckley, Managing Director of Reos. "We've taken the logic of property law and distilled it into a simple, scripted workflow - not tech for tech's sake, but guardrails defined by specialist attorneys at every step. As tribunal rulings and legislation evolve, SBL’s team updates the system in real time, ensuring those guardrails move with the industry. Agents can navigate lease details flexibly, capturing information or finalising terms as needed, while built-in hard stops ensure all legal requirements are met before the agreement can progress."
Beyond just automating the paperwork, the platform ensures the legal complexity of the workflow translates into a document that is accessible to all parties. LeaseConsole closes the gap between signing and understanding - not by reducing complexity, but by making it legible. Each agreement extracts listing data and draws on verified FICA and mandatory disclosure documents from the outset, ensuring the agreement reflects the actual tenancy without the added effort of building it from scratch. The clause structure is then tailored to the specific lease, producing something simultaneously more precise than a generic template and considerably easier to read, interrogate, and rely on. The result is true consensus: not just a signature, but a shared understanding of what has been agreed on.
"A frustrated tenant who feels misled by fine print is rarely a tenant who pays on time. Likewise, a landlord who consistently experiences late payments is unlikely to prioritise maintenance. By ensuring a lease is straightforward, we create a better relationship with less friction," explains Cilna Steyn, Managing Director at SBL Incorporated. “That clarity also holds up in litigation - should a dispute reach the Rental Housing Tribunal or expensive court proceedings, the signed contract is secured in a digital cloud with a time-stamped audit trail, providing immediate, indisputable evidence.”
Much of that friction is also operational. Under conventional processes, tenants and landlords can be asked for the same information up to six times - from mandate stage through to rent collection - eroding trust before a tenancy has even begun. LeaseConsole eliminates this through a centralised data model that auto-fills documents from information already captured, while compliance, documentation logic, and AI-assisted data validation run quietly in the background - removing the margin for error without adding to the workload.
"What we've created isn't just a better contract - it's a better foundation for the entire landlord-tenant relationship," says Buckley. "When a lease agreement is legally sound, easy to understand, and backed by a process that keeps everyone accountable, disputes become the exception rather than the rule. Better documentation isn't a legal luxury. It's the simplest investment an agency can make in fewer disputes, stronger relationships, and a healthier bottom line."
