Digital incentive payout systems are becoming increasingly important and viable component of modern workforce management and are no longer regarded as merely an alternative to tradition systems, says digital payment solutions provider Lesaka Payouts head Amelia Williams.
Lesaka Payouts, a recent addition to the broader Lesaka Technologies group, disburses incentives instantly to workers through physical cards and digital wallets in manufacturing and industrial sectors in South Africa.
In the manufacturing and industrial space, Lesaka’s role is to securely execute the approved payment instructions generated by the payroll process.
“Manufacturing organisations typically have well-established payroll, human resources (HR) and enterprise resource planning (ERP) systems, and our solution is designed to work alongside these existing platforms,” Williams explains.
These payroll or HR systems generate the approved payment file, which is securely uploaded through the Lesaka customer portal for processing.
This approach ensures simple and reliable implementation with minimal disruption to existing processes while ensuring compliance with industry agreements, labour legislation and tax requirements.
Once payments are approved, funds are securely distributed to employees’ prepaid cards, providing employers with electronic confirmation of successful disbursements and a clear audit trail for reconciliation and reporting.
For organisations requiring a higher level of automation, Lesaka is exploring application programming interface integration as part of its tailored solution.
“This will guarantee that businesses can integrate the payout process directly into their existing payroll or ERP environment,” she adds.
In addition to standard payroll disbursements, the Lesaka Payouts platform also supports scenarios where employers want to make instant incentive or advance payments before the payroll cycle has been completed.
“This is particularly valuable in manufacturing environments where businesses want to recognise exceptional performance immediately, rather than requiring employees to wait until the next payroll run to receive shift allowances, production incentives or other rewards.”
These advance payments provide employees with immediate access to funds, creating a stronger link between good performance and rewards, which can positively influence worker motivation, productivity and engagement.
Importantly, the payments remain fully visible to the employer and are subsequently incorporated into the normal payroll cycle, where the appropriate tax deductions and statutory calculations are applied.
“This allows manufacturers the flexibility to reward employees in real time without compromising payroll integrity, compliance or financial governance,” Williams reiterates.
As manufacturers continue to automate production and digitise operations, it is equally important that employee payment processes evolve.
Secure digital payouts reduce operational risk, strengthen governance, improve the employee experience and provide finance teams with visibility and control in more highly-regulated business environments.
Williams stresses that security and governance are fundamental to digital payouts, particularly for organisations operating across multiple sites.
Lesaka Payouts, therefore, applies a risk-based compliance structure, including its ‘Know Your Customer’ framework.
Corporate clients are also subjected to a comprehensive due diligence process, while employee verification is performed when required according to industry regulation and Lesaka Payouts product rules.
Combined with approval workflows, transaction histories and electronic records, this creates a strong audit trail that is significantly more robust than cash-based payment methods.
However, “successful digital transformation depends as much on people as technology”, and Lesaka Payouts, therefore, provides dedicated onboarding support covering employer setup, payroll administrator training and employee card distribution.
Cardholders receive clear guidance on activating and using their cards, while payroll teams are trained to handle the loading process, reporting and exceptions.
